To Our Volunteers

It takes 200+ dedicated volunteers sharing knowledge and talents to create this community tradition. We truly appreciate the kindness in so many ways of Quadra community members stepping up for a part in bringing each Fair to life.

If you are new to the island and looking for an opportunity to meet some new folks or just think you have more space in your life to volunteer contact us with your talents and interests, we are sure to find a spot for you!

Please review the list of volunteer positions below. Choose three or more that appeal to you and note them in the volunteer sign up form. Some positions fill up very quickly, we will do our best to assign you to one of your choices, or contact you with alternatives where there are openings.

Fall Fair Volunteer Positions:

Admissions Tent Greeter

Participate by greeting attendees on Fair day and taking entrance fee monies from attendees.

Time Commitment: 2-4 hour shift on Fair day

Bistro Baker/Cook

Participate by doing some advanced baking of sweet and savory foods.

Time Commitment: 2-4 hours the day before the Fair

Cake Walk Baker

Participate by baking cakes or 1 dozen cupcakes for the cake walk event.

Time Commitment: 2-3 hours the day before the Fair

Crosscut Saw Event Support Team

Participate by securing logs in advance, deliver them to the site the day before, and assist in the set up on Fair day.

Time Commitment: 2 hours on setup day & 2-3 hours on Fair day

Decorating Team Member

Participate by working alongside the Decoration Coordinator to plan, install and remove decorations.

Time Commitment: 3-4 hours each on setup day and Fair day

Eats & Beats Food Service Team Member

Participate by working in the kitchen on Fair day serving food and handling food sales.

Time Commitment: 3-4 hour shifts on Fair day between 8:00 am – 5:00 pm

Face Painter

Participate by hosting the face painting station and painting faces of fair attendees.

Time Commitment: a 2 hour shift from 9:30 am to 2:30 pm on Fair day

Fair Photography Team Member

Participate by signing up to take photographs throughout the day of specific fair exhibits and activities.

Time Commitment: a two hour shift between 9:30 am – 2:30 pm on Fair day

Grounds Load In/Load Out Team Member

Participate by joining the crew to set up tables, chairs, tents, stage, and place signs along with a myriad of other setup and unloading tasks.

Time Commitment: 4-6 hour shifts will be needed Thursday through Sunday “Fair Day” and a few shifts after the Fair.

Grounds Security

Participate by staying overnight in your camper to keep the Fair grounds secure, with special attention to the dunk tank.

Time Commitment: overnight 5 pm to 8 am

Indoor Exhibit Judge/Tallier/Ribboner

Participate by judging / tallying or ribboning exhibits. Review and apply the judging criteria, scoring guidelines, and ribboning procures.

Time Commitment: 1-2 hour meeting with conveners in advance, plus 4-5 hours from 5 pm – 10 pm on setup day

Indoor Exhibit Registration Team Member

Participate in accepting and registering all indoor hall exhibits brought in by community members on the day before the Fair.

Time Commitment: 2-3 hour shifts between the hours of 9 am to 5 pm the day before the Fair

Indoor Hall Exhibit Runner

Participate in moving exhibits from the registration table to the appropriate exhibit display tables.

Time Commitment: 10 am – 5:30 pm on setup day. Registration coordinator will schedule runners for 2-3 hour shifts

Indoor Hall Monitors

Participate on Fair day to monitor the indoor hall exhibit area, responding to questions and ensuring that all exhibits stay in place until the 5:00 pm pickup after the Fair ends.

Time Commitment: 2-3 hour shifts on Fair day

Indoor Hall Breakdown

Participate in the table removal and clean up of the indoor hall at the end of Fair day.

Time Commitment: 2 hours from 5:00 pm – 7:00 pm

Information Booth Representative

Participate by hosting the information booth on Fair day. Distributing door prizes, selling T-shirts, providing directions, and handing out the event schedule.

Time Commitment: a two-hour shift from 8:30 am to 4:30 pm on Fair day

Livestock Tent Team Member

Participate with setup, dismantle and Fair day hosting of the livestock tents. Answer questions, protect the handling of livestock, direct the livestock owners to load in and load out animals.

Time Commitment: 2-3 hours on setup day and a 2-3 hour shift from 8:30 am to 4:30 pm on Fair day

Outdoor Exhibit Sound System Coordinator

Participate in the setup and testing of all equipment used by MC’s and music DJ’s at the outdoor stage area.

Time Commitment: 3-4 hours on setup day for testing and on-call throughout the Fair to troubleshoot equipment failures

Outdoor Event Emcee

Participate by announcing the start of the outdoor events held at the mainstage. Explaining the rules of the event and leading audience enthusiasm for the participant’s hard efforts.

Time Commitment: 1-2 hours on setup day and a 2-3 hour shift from 8:30 am to 4:30 pm on Fair day

Parking Attendant

Participate by taking a shift on set up day and/or Fair day to direct traffic in and out of the Fairgrounds and community centre parking area.

Time Commitment: 2-3 hours on setup day and a 2-3 hour shift from 8:30 am to 4:30 pm on Fair day

Zucchini Race Event Monitors

Participate in one of the following roles during the races on Fair day. Gate keeper/ribbon giver, first past post judge, furthest zucchini recorder and judge, white board record keeper.

Time Commitment: 2-3 hours on Fair day

Outdoor Event Helpers

Participate by taking a 2 hour shift on Fair day at the outdoor main stage area. Tasks include event timekeeper/participant registration, recording results during competitive events, and setup helpers.

Time Commitment: 2-3 hour shift from 8:30 am to 4:30 pm on Fair day

Sewing Doggie Scarves and Table Clothes

Participate by sewing scarves and table cloths as needed.

Time Commitment: 3-4 hours
